Microsoft Outlook Data file security

When you create a .pst file, you can assign a password to the file. A password improves security and reduces the ability of others to view your data. You can select the Save this password in your password list check box to avoid being prompted for the password each time you open the file.

Use strong passwords that combine uppercase and lowercase letters, numbers, and symbols. Weak passwords don't mix these elements. Strong password: Y6dh!et5. Weak password: House27. Passwords should be 8 or more characters in length. A pass phrase that uses 14 or more characters is better. For more information, see Help protect your personal information with strong passwords.

It is critical that you remember your password. If you forget your password, Microsoft cannot retrieve it. Store the passwords that you write down in a secure place away from the information that they help protect.

Note If your Windows user account is not password-protected, or other people have access to your Windows user account, do not use the Save this password in your password list option.

By default, if you do not type a name in the Name text box, the Personal Folders file (.pst) is named Personal Folders in the Outlook Navigation Pane. This might be confusing if you open several .pst files, all with the same name. We recommend that you type a name that is meaningful to you.

A password is not required for a .pst file but helps to provide better protection for your information. Type the same password into both the Password and Verify Password text boxes. For security, dots appear as you type the password.

If you use a password for this .pst file, you can select this check box to prevent you from being required to type the password each time you open the .pst file in Microsoft Outlook. Even if the .pst file is moved to another Windows profile or another computer, a password prompt still appears.

Determine the version of Microsoft Exchange my account connects

Some features of Microsoft Exchange accounts depend on the version of Exchange that your account connects to. An example is the Outlook Anywhere feature, which requires Microsoft Exchange Server 2003 or later.

To determine the version of Exchange that your account connects to, do the following:

  1. With Microsoft Office Outlook running, press and hold CTRL while you right-click the Microsoft Outlook icon in the notification area, at the far right of the taskbar.

2. Click Connection Status.

3. Move the horizontal slider all the way to the right.

Note Under the Version column heading, note the number that appears.

How to Manage the Junk E-Mail Filter

Microsoft Outlook 2007 provides enhanced spam filtering options in the Junk E-Mail Filter. If you don’t have additional filters in place, such as those that might be supplied by your organization, you might prefer to set the Junk E-Mail Filter protection level at a higher level. With the protection level set to High or to Safe Lists Only, it is likely that the Junk E-Mail Filter will catch quite a few valid messages that you don’t want deleted.

Note that the Disable Links and Other Functionality in Phishing Messages check box is selected by default. Unless you are very confident that you have another protective system in place, leave this option selected.

You can add a specific person’s e-mail address to the Safe Senders List or specify that e-mail received from any sender at a particular domain is safe by adding only the domain. To ensure that messages from your legitimate contacts aren’t held by the Junk E-Mail Filter, you should select the Also Trust E-mail From My Contacts and Automatically Add People I E-mail To The Safe Senders List check boxes.

You can add addresses or domains to your Safe Recipients List to ensure that messages you send to them will never be treated as junk e-mail. You can manually add e-mail addresses and domain names to the Blocked Senders List or Outlook will add them for you whenever you identify a received message as junk e-mail Support.

The Junk E-Mail Filter gives you the option of blocking all messages from a country-specific, top-level domain, or all messages containing specific non-English text encoding. I want to share my Experience about Micosoft Outlook and Computer Support assistance.

Outlook HTML rendering

Outlook 2007 was the first Outlook to switch from Internet Explorer HTML rendering to Microsoft Word 2007 HTML rendering. This means a number of HTML and CSS items are no longer supported due to security reasons.

The consequence of this mostly affects those publishing newsletters, which frequently use intricate HTML and/or CSS to form their layout, for which existing code will not render correctly. For example, the removal of a ("form") tag means that forms can no longer be embedded in e-mail.

This switch can be seen to mark a change in philosophy on the Outlook product, making it intentionally incompliant so that only the most basic of presentational elements remain.

Calendar compatibility

Outlook does not fully support other calendar programs for calendaring or contacts such as iCalendar, CalDAV, SyncML and vCard 3.0. Outlook 2007 claims to be fully iCalendar compliant; however, it does not support all core objects, such as VTODO, VJOURNAL. Also, Outlook supports vCard 2.1 and does not support multiple contacts in the vCard format as a single file. Outlook has also been criticized for having proprietary "Outlook extensions" to these Internet standards.

Use Outlook Mobile Service (OMS) to easily send text messages from Microsoft Office Outlook 2007 to a mobile phone. Learn some key basics so that you can use OMS to get the most from Outlook, even when you’re on the go.

After completing this course you will be able to:

  • Verify that your Outlook Mobile Service account has been set up.
  • Use Outlook to send a new text message or to forward an existing message, contact, or appointment to any mobile phone that supports text messaging.
